CANCELLATION POLICY

LONG SESSION ENROLLMENT AND CANCELLATION AGREEMENT

Effective Date: 1 September 2025

 

1. Introduction

This agreement is a legally binding contract between you ("Client") and Transform-X International Limited ("Transform-X," "TX," "we," or "us"). It applies to all Long Sessions, defined as any Transform-X single-session service with a total duration of 3 hours or more, even if delivered across multiple appointments. By scheduling a Long Session and submitting your payment, you:

  • Confirm that you have read and agree to this agreement.
  • Accept that these terms apply to all future Long Sessions you book with Transform-X.

2. Cancellations & Refunds

Transform-X’s cancellation and refund policy is compliant with the UK Consumer Contracts Regulations, while also accounting for the significant preparation required for your session.

If you need to cancel or reschedule, please notify us as soon as possible. Due to the time commitment involved, we cannot guarantee a last-minute rescheduling.

2.1 Cancellation & Refund Policy

  • At least 14 days before the session: Full refund available
  • From the 13th until the 10th day before the session: Full refund, less £500 non-refundable deposit (deposit can be used for future Transform-X sessions or events)
  • From the 9th day before the session, until the day of the session: No refund available under any circumstances

2.2 How to Cancel or Reschedule

  • All cancellations or changes must be in writing via email or postal mail.
  • Voicemail is not an accepted cancellation method, but you may call us for consultation.
  • If you need to transfer your booking to another date, we require written notice with updated attendee details (if applicable).

2.3 Product Bonuses & Refund Adjustments

If your booking included product bonuses (e.g., digital content, physical workbooks, etc.), they must be returned in resellable condition to receive a refund. If any items are damaged or non-returnable, their cost will be deducted from any refund due.

3. Payments & Financial Policies

Payment Terms

  • Payment Required: No paid sessions or programs will be confirmed, nor held, without payment.
  • Accepted Methods: Payments can be made through the providers available on our website, including Stripe, PayPal and Klarna.
  • Third-Party Installments: Flexible payment options offered by PayPal, Klarna, or any other third-party providers are subject to their own terms and conditions. By selecting one of these options, you agree to review and accept their policies. Transform-X is not responsible for the administration, approval, or enforcement of third-party payment plans.
  • Full Payment Before Services: Regardless of payment method, full payment for all Transform-X programs must be completed prior to the program start date.
  • Failed Payments: If a payment is not completed or is later reversed by your financial provider (e.g., chargeback, cancellation, or failed installment), Transform-X reserves the right to cancel or suspend access to all sessions and programs until payment is resolved. No refunds will be provided for missed sessions due to payment failure.
  • Additional Fees: Clients are responsible for any additional bank, transaction, or currency conversion fees charged by their payment provider.
  • Program Changes: Session dates, times, and locations are subject to change. If changes occur, Transform-X will notify clients promptly. Such changes do not affect the terms of this policy.

4. Results Guarantee (Not a Money-Back Guarantee)

At Transform-X, we guarantee results, not refunds.

4.1 How Our Guarantee Works

  • At the start of your session, we will mutually agree on a desired outcome.
  • If this outcome is not met within the expected timeframe, we will continue working with you at no extra cost until it is achieved.
  • If one coaching approach doesn’t work, our Practitioners are expertly trained to adjust strategies based on your needs.

4.2 Limitations

The results guarantee only applies if you have:

  • Fully participated in the coaching process.
  • Completed all assigned tasks and exercises.
  • Been honest and open throughout the sessions.

This is not a money-back guarantee. Once a session is completed, no refunds are available.

5. Client Responsibilities

By booking a Long Session, you agree to:

  • Be punctual and arrive prepared for your session.
  • Engage fully in the process and follow Practitioner guidance.
  • Not resell, distribute, or misuse any Transform-X coaching materials.

Failure to uphold these responsibilities may result in termination of services without refund.

6. Food, Travel & Accommodations

Most Transform-X coaching sessions are conducted digitally, so this section applies only to in-person coaching arrangements.

If a special arrangement is made for an in-person coaching session, the Client is responsible for covering:

  • Their own food, travel, and accommodation.
  • The food, travel, and accommodation costs of their assigned Transform-X Practitioner for the duration of the session.
  • Any travel & accommodation costs for the Practitioner will be agreed upon before finalizing the booking.

Failure to pay these costs in advance may result in session cancellation without refund.

7. Legal Provisions

7.1 Arbitration (Dispute Resolution)

If a dispute arises, both parties agree to resolve it through arbitration under the Arbitration Act 1996 (UK).

  • Location: London, England.
  • Process: Conducted in-person, via telephone, or online.
  • Arbitrator: A single neutral arbitrator, chosen by mutual agreement.
  • Finality: Arbitration decisions are binding and may be enforced in UK courts.

If a party violates this clause by taking legal action, the other party may recover up to £800 in legal fees.

7.2 Governing Law & Jurisdiction

  • This agreement is governed by the laws of England and Wales.
  • Any disputes not subject to arbitration must be brought to the courts of England and Wales.

7.3 Force Majeure (Uncontrollable Events)

Transform-X is not liable for delays or session cancellations due to events beyond our control, including but not limited to:

❌ Acts of God (e.g., natural disasters, pandemics)
❌ Government actions or legal restrictions
❌ Internet or communication failures
❌ Cybersecurity breaches or hacker attacks

If a force majeure event affects your session, Transform-X will make reasonable efforts to reschedule your booking, but refunds will not be issued.

8. Liability Disclaimer & Indemnification

  • Transform-X provides personal development coaching only – we do not offer medical, psychological, or financial services.
  • By booking a session, you agree to indemnify Transform-X and its agents against any claims, losses, or damages resulting from your participation.
